Penn State: Administrative Support Coordinator

The Office of Education and Social Equity in the College of Education is seeking an experienced Administrative Support Coordinator 3 to support our equity and inclusion programs and services. The position will provide direct support to the Assistant Dean, Student Advocacy Specialist, Post-Doctoral Scholar, Restorative Justice Initiative director, Prison Education Manager, DC Social Justice Fellowship (DCSJ) faculty, the College of Education’s Equity Team and Diversity and Community Enhancement Committee.  This position is the first point of contact and must promote an open and inclusive office environment, therefore, candidates need to demonstrate meaningful experience working with minoritized communities and applicable understanding and engage in equity and inclusion practices.  The successful candidate must be self-motivated and able to exercise sound decision-making, initiative and independent judgement to manage office operations and coordinate multiple concurrent projects and special assignments with little or no supervision. Competency in the identification and management of critical work-related problems ad processes, evaluation, and solution implementation.  Excellent interpersonal skills across hierarchies with the aptitude to communicate with tact, understand and practice discretion and confidentiality to address sensitive information, situations, and problems.  Familiarity with educational settings, post-secondary institutions’ policies, and procedures as well as relevant federal and state regulations preferred. Experience with accounting, human resources and student records electronic systems and applications.  Practical knowledge of Microsoft Office and Microsoft products; power user for Excel, PowerPoint, Word, Outlook – with the ability to both compile and present in these platforms and effective decision-making in the selection and use of the suitable application for tasks processing and assignments delivery.

This position is responsible for the day-to-day administrative duties which include, but are not limited to:

  • Coordinate, prioritize, and maintain schedules, calendar, meetings, and appointments for the Assistant Dean, Student Advocacy Specialist, Post-Doctoral Scholar, Restorative Justice Initiative Director, Prison Education Manager;
  • Oversee the activities of the office, establish and assign priorities, ensure schedules are maintained and deadlines are met, and develop processes and procedures for the office ;
  • Prepare financial and operational reports and participate in preparation of short- and long-term budget plans;
  • Review and process financial transactions within established guidelines; 
  • Coordinate and/or manage a wide variety of special projects and act as liaison to internal and external contacts;
  • Coordinate and oversee the processing of financial and human resources forms, and coordinate office equipment purchases and material;  
  • May oversee or coordinate the operations and logistics of specialized programs
  • Create, review, and analyze programmatic, administrative, and promotional materials such as brochures, spreadsheets, proposals, and flyers;
  • Lead the coordination of functions such as meetings, workshops, and events including travel, lodging, meals, etc. 

This position typically requires an Associate’s degree or higher plus 3 years of related experience or an equivalent combination of education and experience.
